How to scan a paper letter or form with your phone and send it by email or WhatsApp

Helpful Guide

If somebody asks you to send a letter, proof of address, or a signed form, you do not always need a printer or scanner. In many cases, your phone can do the job clearly enough on its own.

The part that often feels awkward is knowing which button to press, whether to send a photo or a PDF, and how to make sure the page is readable before you send it.

The short version: place the paper on a flat surface in good light, scan it with your phone, check that every corner is visible, then send the saved file to the right person. A PDF usually looks tidier than an ordinary photo when you are sending a letter or form.

This guide explains a calm, simple way to scan a document on iPhone or Android and send it by email or WhatsApp without feeling rushed.

When this is useful

Scanning with your phone can help when you need to send:

  • A form from a GP surgery, solicitor, school, or insurer.
  • A proof-of-address letter or utility bill.
  • A signed page that someone needs back quickly.
  • A note or letter you want to keep a copy of before posting it.

If you only need to send a casual picture, a normal camera photo may be enough. If it is a proper document, a scan usually looks clearer and more professional.

Important: if the page contains bank details, medical information, passport details, or other private information, double-check the recipient before you send it. It is worth slowing down for that part.

Before you start

  1. Put the paper on a plain flat surface. A table is better than your lap.
  2. Use good light. Daylight near a window helps, but avoid strong glare.
  3. Smooth the page if you can. Creases and shadows make text harder to read.
  4. Have the recipient details ready. That helps you avoid sending the document to the wrong person later.

If your phone screen text is difficult to read while you do this, our guide on making text bigger on your phone, tablet or laptop may help first.

Should you send a photo or a PDF?

For everyday paperwork, a PDF is often the better choice because it keeps the document together neatly and is easier for the other person to open or print.

  • Choose a PDF for forms, letters, official paperwork, or anything with more than one page.
  • Choose a photo only if someone has specifically asked for a quick picture.

Many phone scanning tools save the page as a PDF automatically, which makes life easier.

How to scan a document on iPhone

Apple’s current iPhone guidance says you can scan documents directly in the Notes app using the camera.

  1. Open Notes and start a new note, or open an empty one.
  2. Tap the attachment or camera option, then choose Scan Documents.
  3. Hold the phone above the page. The iPhone may capture it automatically, or you can tap the shutter button yourself.
  4. Adjust the corners if needed. Make sure the whole page is included.
  5. Tap Save when you are happy with it.

If the document has more than one page, keep scanning each page before saving so they stay together.

Tip: if the page looks crooked or too dark, it is worth doing it again straight away. A second attempt is usually faster than sending an unreadable copy and having to start over later.

How to scan a document on Android

Google’s current help for Android says you can scan documents in the Google Drive app.

  1. Open Google Drive.
  2. Tap New or the plus button, then choose Scan.
  3. Hold the phone over the page and take the picture.
  4. Crop or adjust the scan if needed.
  5. Save the scan when it looks clear.

On some Android phones, the wording may vary a little, but the main idea is the same: capture the page, tidy the edges, then save it.

How to check the scan before sending it

Do not send it the second it appears on screen. Give yourself half a minute to check it properly.

  • Can you read the smallest print?
  • Are all four corners visible?
  • Has anything important been cut off?
  • Is the page the right way up?
  • Have you included every page?

How to send the scan by email

Email is often best for official documents because it leaves a clear written trail.

  1. Open your email app and start a new message.
  2. Type the recipient carefully. Check every part of the address before you continue.
  3. Use the attachment button to add the scanned file or PDF.
  4. Add a short message so the recipient knows what they are looking at.
  5. Open the attachment once if possible before sending, just to confirm it is the right file.

If you have trouble attaching it because your inbox is full or your mail app is behaving oddly, our guide on what to do when your email inbox is full may help.

How to send the scan by WhatsApp

WhatsApp can work well if a family member, support worker, or local contact has asked for the document that way.

  1. Open the correct WhatsApp chat.
  2. Tap the paperclip or plus button.
  3. Choose Document if you saved the scan as a PDF, or choose Photos if you only saved a picture.
  4. Select the correct file.
  5. Add a short note if needed, then send it.

If it is personal paperwork, pause before you send and make sure you are in the right conversation. That simple check prevents a lot of embarrassment.

If the document will not send

Do not assume you have done anything wrong. Usually one of these is the cause:

  • The file is too large. Try scanning again with fewer pages or send one part at a time.
  • Your internet connection is poor. Wait for a stronger signal or try again on home Wi-Fi.
  • The file saved somewhere awkward. Look in Files, Downloads, Notes, or Drive.
  • The app has become stuck. Close it and reopen it before trying again.

If your home connection keeps interrupting uploads, our guide on what to do if your home Wi-Fi keeps dropping may help.

Simple safety habits when sending paperwork

  • Send it only to the person or organisation you trust.
  • Check the email address or WhatsApp chat twice.
  • Avoid sending sensitive paperwork over public Wi-Fi if it can wait until you are at home.
  • Keep a copy until the other person confirms they received it.

If you need to send something from a café, waiting room, or library, our guide on using public Wi-Fi more safely is worth reading first.
